AI without the Overwhelm

How Claude Changed How a Coach Runs Their Business

I have to share something that has genuinely shifted how I work in my business. Not a productivity hack. Not another app. Something that has changed the way I think about delivering value to my clients and students — and how much of my own time and energy it costs me to do it.

I have been using Claude, Anthropic's AI platform, for several months now, and I am genuinely blown away by how much it has elevated the quality and speed of the work I deliver. As a business accelerator coach, I spend my days creating strategy documents, brand frameworks, growth plans, and coaching deliverables. Claude has become my behind-the-scenes partner for all of it — and I want to walk you through exactly what that looks like in practice.

The Problem Every Coach Knows

If you are a coach, consultant, or any kind of service-based entrepreneur, you know the tension I am talking about. You got into this work because you love strategy. You love working with people. You love the moment when a client sees their business differently because of a framework you built for them or an insight you helped them uncover.

But then there is the other side. The hours spent formatting a strategy document. The afternoon lost building out a brand positioning framework from scratch — again — for the fifth client this month. The session prep that takes longer than the session itself. The follow-up notes, the growth plans, the proposals, the templates.

The admin work eats into the time meant for actual coaching. And the cruel irony is that the better you get at your craft, the more clients you attract, and the more that administrative burden grows. At some point, every coach faces the same uncomfortable question: do I cap my client load and leave money on the table, or do I push through and risk burning out?

I have lived in that tension for years. And I am not going to pretend I had a perfect answer before Claude. I managed it. I worked long hours. I built templates where I could. But I always felt like there should be a better way — a way to maintain the quality my clients deserve without sacrificing my own well-being to deliver it.

Why I Chose Claude Over Other AI Tools

I have tried other AI tools. I am not going to name names, but I will say this: most of them gave me output that felt like a first draft written by someone who had skimmed a business textbook but never actually run a business. Generic. Surface-level. The kind of content where you read it and think, "Sure, that is technically correct, but it does not actually say anything."

Claude was different from the first conversation. When I gave it context about a client's business — their industry, their stage, their specific challenges — it did not just spit back a template with the blanks filled in. It thought in context. It picked up on nuance. It asked the kinds of follow-up questions that a sharp junior strategist would ask. It understood that a brand framework for a wellness coach launching her first group program is fundamentally different from one for a B2B consultant repositioning after fifteen years in corporate.

That level of contextual thinking is what won me over. I do not need an AI that gives me generic advice I could find in any business book. I need one that can hold the complexity of real client work — and Claude does that at a level that honestly surprised me.

What Claude Actually Does in My Business

Let me get specific, because the details matter. Here is what Claude handles in my day-to-day work:

Strategy Documents

When I am building out a strategic plan for a client, I used to start from a blank document every time. Even with templates, each client's situation is unique enough that I would spend two to three hours customizing, restructuring, and polishing. Now I brief Claude on the client context — their goals, their constraints, their market position — and it produces a structured first draft that captures about eighty percent of what I would have written. I then spend thirty to forty-five minutes refining, adding my own insights, and making it feel like me. The result is a better document in a fraction of the time.

Brand Frameworks

Brand positioning work is where Claude really shines. I feed it the client's competitive landscape, their ideal customer profile, their unique value proposition, and it helps me build out messaging hierarchies, tone-of-voice guides, and positioning statements that are genuinely thoughtful. Not cookie-cutter. Not generic. Thoughtful. It understands that brand work is about differentiation, and it pushes for specificity in a way that saves me from the "sounds like everyone else" trap.

Growth Plans and Coaching Deliverables

For my accelerator students, I create customized growth plans that map out their next ninety days. These plans include revenue targets, marketing milestones, operational improvements, and accountability checkpoints. Claude helps me draft these based on each student's unique situation, and the output is consistently strong enough that my students regularly tell me these plans alone are worth the cost of the program. That is not Claude's doing alone — my experience and strategic eye are what make the plan valuable — but Claude handles the scaffolding so I can focus on the strategy.

Session Prep and Follow-Ups

Before every coaching session, I review my notes and prep an agenda. After every session, I send a follow-up with key takeaways, action items, and resources. This used to take me twenty to thirty minutes per client, per session. Now I give Claude my session notes and it drafts a polished follow-up in minutes. I review it, add any personal touches, and send. My clients get a better follow-up, faster, and I get that time back.

The Shift: From Tool to Thinking Partner

Here is the thing I want you to understand, because it is the most important insight I can share about working with Claude: this is not about replacing what I do. It is about amplifying it.

"Claude doesn't replace my expertise — it amplifies it. I bring the strategy, the relationships, the hard-won experience. Claude handles the scaffolding."

I have fifteen years of cross-functional business experience. I have worked in SaaS, in consumer goods at the world's largest brewer, and I have built my own businesses from scratch. That experience — the pattern recognition, the client intuition, the strategic judgment — that is mine. No AI is replacing that.

What Claude does is handle the parts that used to slow me down. The structuring. The formatting. The first-draft writing. The research synthesis. The things that require competence but not necessarily my unique expertise. By offloading that work, I get to spend more of my time doing what only I can do: reading the room in a coaching session, making a strategic call based on years of pattern recognition, building the kind of trust with a client that no AI can replicate.

The human stays in control. That is not a caveat — it is the entire point. Claude is powerful precisely because it knows its place in the workflow. It does not try to be the strategist. It supports the strategist. And that distinction makes all the difference.

What This Means for Your Coaching Business

If you are a coach, consultant, or service-based entrepreneur reading this, I want you to sit with one question: how much of your week is spent on work that is important but not uniquely yours?

I am not talking about cutting corners. I am not talking about automating your way out of caring about quality. I am talking about the reality that most of us spend hours every week on tasks that require skill but not our specific genius. And those hours add up. They are the reason you are working late. They are the reason you cannot take on another client without feeling stretched thin. They are the reason you have a waiting list but no breathing room.

Claude changes that math. With the right approach, you can serve more clients without burning out. You can go from idea to deliverable in an afternoon instead of a week. You can maintain — and even raise — your quality bar while reclaiming hours of your time.

I have seen this in my own business already. I am producing more polished work, for more clients, in less time, and I feel less drained at the end of the day. That is not a small thing. For a service-based business owner, that is everything.

How to Get Started

If you are ready to explore what Claude can do for your business, here is my honest advice: start simple. You do not need to overhaul your entire workflow on day one. Pick one deliverable you create regularly — a strategy document, a session follow-up, a proposal — and try building it with Claude.

Claude Cowork starts at $20 per month, and that alone gives you access to a remarkably capable thinking partner. If you are like me and quickly see the potential, you will want to upgrade to the Pro plan at $100 per month for heavier usage — but start where you are comfortable and let the results speak for themselves.

The key is to give Claude rich context. Do not just say "write me a brand framework." Tell it about the client. Tell it about the industry. Tell it what makes this situation different. The more context you provide, the more Claude can deliver output that actually sounds like it came from someone who understands the work — because in a meaningful sense, it does.
